Executive Office Administrative Assistant

Reports to: Chief of Staff
FLSA Status: Non-Exempt

Summary: Provides reception Responsible for providing front door support in the form of greeting and directing visitors.  Responsible for providing administrative and secretarial support for the chief of staff and all other directorates by performing the duties laid out below. 

Primary Duties and Responsibilities:

1.    Greets and assist visitors of the organization. 
2.    Answers and screens organization phone lines and routes callers to the appropriate party.
3.    Maintains polite and professional communication via phone, email, mail and in person.
4.    Provides real-time scheduling support by booking meetings, travel, conferences and department activities for  all members of the staff.
5.    Handles office tasks, such as filing, generating reports and presentations, coordinating meeting logistics, organizing and executing direct mail projects and reordering supplies.
6.    Collaborates with the chief of staff to develop visual presentations and briefs for internal and external meetings.
7.    Responsible for sorting and distributing mail when needed as well as ensuring timely response is provided for executive office general correspondence. 
8.    Handles confidential and non-confidential routine information and maintains a good understanding of association policies. 
9.    Works independently and within a team on special nonrecurring and ongoing projects as well as acts as a project manager for special projects, at the request of the chief of staff, which may include planning and coordinating multiple presentations, disseminating information, and transcribing meeting minutes. 
10.    Coordinates coverage of desk duties and division of workload with other non-exempt employees. 
11.    Other duties as assigned.

Education/Experience:
High school diploma or general education degree (GED); and one year related experience and/or training; or equivalent combination of education and experience.
