2024 Legislative Workshop | February 27 - 28

The Legislative Workshop provides a unique opportunity for Legislative Liaisons and Congressional Affairs Contact Officers from each state, territory, and D.C. to learn about the legislative process and hear from National Guard leaders regarding upcoming priorities and insight on the issues affecting the Guard.

The association’s annual Legislative Workshop is set for Feb. 27-28 at the National Guard Memorial Museum, the NGAUS headquarters in Washington, D.C.

2024 Capitol Summit | March 17 - 19

The Capitol Summit is one of two officer professional-development programs NGAUS currently offers Army and Air National Guard company-grade officers. The program brings Guardsmen from each state and territory to the nation’s capital for a close look at how the government works and the role NGAUS plays in the legislative process.

In preparation for the NGEDA conference in January, I would like to find out how the database can better serve your memberships needs.  I want you to let me know what reports/information would be useful for you to access from the database.  I know that the database is difficult to maneuver sometimes and it is frustrating trying to figure out how to find what you want. Not to mention, there are an abundance of queries that are not needed and they are confusing as well.

Member engagement is an evolving challenge with no "one size fits all" approach. What works for one association may not be suitable for you, and what is effective one year may not be true for the next. This NGEDA, I want to help you have the marketing tools needed to advance your goals. Not everyone has the time or bandwidth to develop a marketing plan for their association, so let's use this opportunity for collaborative growth and mutual support.

Member Renewal Correspondence

The NGAUS membership team sends a series of emails to expiring members over a nine-month period usually from October to June.  Since NGAUS annual memberships will all expire on December 31st, there will be a number of communications that will go out from the membership department.  We would like to keep you informed of these communications in case you receive questions about them.  Some examples are:

Members of full and partial participation states receive emails that send them to the NGAUS membership page and members of non-participation states receive an email that directs them to contact their state association.

NGEDA Annual Meeting | January 2024 | Detroit, Michigan

The 2024 NGEDA Annual meeting is set for January 17-19, 2024, in Detroit, Michigan. There will be a special day of updates and training provided by members of the NGAUS Staff on January 16th. We recommend that you travel on January 15th in order to attend the NGAUS update event on January 16th.

2024 Annual Data Call

Executive Directors - please work with your Army and Air Personnel offices to obtain the number of officers assigned at the end of 2023. Be sure to consider the number of anticipated losses you will have in the first few months of the year when calculating your goals. Most officers separating in the first few months will not purchase an active membership. We will use this number for your 2024 strength goal.

Membership Subsidies


We are looking to compile and updated list of those states/territories that provide a subsidy of any kind for members who purchase NGAUS memberships. This could be discounts on digital life or state memberships at no charge, all of you have special opportunities for members and we want to make sure that NGAUS has your up-to-date information. Even if you have not changed offers, please still email us what you are offering, and if you don’t offer anything – please let us know that as well.

Membership Marketing

There is no growth without action. As we close out 2023 and start preparing for the 2024 membership season, it is time to start strategizing how to engage with current and potential members. I encourage you to develop a marketing plan to guide your efforts as you work towards your tactical goals. Our operational goal is 1% overall growth in active membership, but that should not limit our scope. Consider some of the following assets as you develop your plan.

State Association Resources

In order to facilitate the marketing efforts of our state associations, NGAUS provides a suite of resources for free use. This page can be accessed by going to NGAUS.org, hovering over "States & Territories", and selecting "State Association Resources." Once you log in, you'll see a list of all our available items. In the coming weeks we will be adding or updating different pieces. If there is anything that you believe should be added, please let us know.

Mass Emails

We offer use of our Mailchimp email service to all state associations. Through Mailchimp we are able to create custom designed emails targeted at the membership segment you desire, whether it be current, expired, or anything else. When you provide the content, we will work it up for your approval before sending it out to your recipients. Our only ask is that your messaging includes a membership touchpoint, such as a QR code or renewal call-to-action.

Social Media

In the relationship between required effort and ROI, social media is a valuable asset. One of its key strengths is the reusability of content. A single post can be shared to Facebook, Twitter, Instagram, and LinkedIn with only minor tweaks. The ability to share timely content and information is a benefit of the digital age. Providing regular, relevant content to your audience shows you have a vested interest in their issues. If you have a particularly interesting or important post, be sure to tag NGAUS or reach out to us so that we can share it as well. Our links can be found at the bottom of this email.

September 7, 2023 Update

NGAUS Conference Keynotes

The full presentations from some of the speakers are now available on the NGAUS YouTube Channel at www.youtube.com/user/NGAUS1878. The videos include speeches by Air Force Secretary Frank Kendall, Gen. Daniel R. Hokanson, the chief of the National Guard Bureau, and Gen. Randy A. George, the Army vice chief of staff acting as the Army chief of staff. Retired Maj. Gen. Donald Dunbar’s presentation on the legal foundation of the National Guard is also available.

Capitol Summit Postponed to 2024

Membership Update

2023 – Complimentary Memberships. Please continue to enroll your eligible officers for a complimentary membership in NGAUS. This is an easy way to increase your membership. This is also a great way to receive the 25% rebate for all 2023 annual dues paid for those states still trying to reach their membership goal of a 1% increase or 50% or greater in membership. Remember, if you did not make goal on 30 June, if you reach goal on 31 December, you will still receive the 25% rebate for all annual dues paid during the year!

Digital Life Memberships – Did you know that NGAUS annual members can convert their annual memberships to Digital Life memberships at a reduced cost? If the officer has a 2023 annual membership, the annual dues they paid can be credited toward a digital life membership purchased in 2023. This is a great way to work on 2024 membership right now and gain a discount for your members. Their digital life membership can be reduced by $40, $80, or $130! And they can still take advantage of installment payments if they choose. Remember, in order for your members to take advantage of converting an annual membership to a life membership at a cost reduced by their annual dues paid this year, they must work directly through NGAUS. June 2, 2023 Update

Returned Mail, we could use your help.
 
As you may know, NGAUS receives returned mail notifications from the US Postal Service (USPS) on all mail (including the National Guard Magazine). Returned mail generally falls into two categories:

  1. With a forwarding address (but forwarding has expired)
  2. Without a forwarding address (undeliverable)

When we receive a forwarding address, we update the address in the membership database. When the mail is undeliverable with no forwarding address, we put the address on hold in order to avoid expensive mailings and returned mail expenses. Once the address is put “on hold” in NetForum, an email is sent to the email address on file (if there is one) informing the member and requesting that they update their address.
 
We are going to be sending the copies of the undeliverable returned mail to you.  The addresses for these members have been put on hold. We could use your help in tracking down good mailing addresses. If you can find good contact information, please update the database, and remove the hold on the mailing address, or please feel free to contact me directly with any questions or if you need any assistance.

Why Complimentary Members Matter


Why are complimentary memberships important anyway?   

If you do not enroll new complimentary members each year, you miss out on a substantial number of your potential active members. Each year your state, territory or district gains about 10% of new officers. How many leave or retire?  About the same percentage. So if you are keeping up with awarding complimentary memberships to your new officers, you are keeping your membership numbers up and you are giving young officers the opportunity to learn about your association, NGAUS, and the issues that are important to the National Guard. Of course, it’s just that – an opportunity – unless you take advantage of meaningful communications with your future active members. 

But let’s look at the reverse. Say you miss enrolling new officers for a while. After a few years, you may be connecting with only two-thirds of your active force. Those potential members that you reach out to are increasingly former members of the National Guard. Former members can be great supporters, but you have to have a balance of current active members in order to remain relevant to today’s leaders.
 
When you enroll your new officers for a complimentary NGAUS membership, their membership is free for the remainder of the current year and the entire following year. Here are some of the other advantages:

  • New members receive a series of welcome letters called a Journey introducing them to the features and benefits of their membership.
  • Each week, members receive the Washington Report which provides current news relevant to the National Guard, the armed forces, and veterans and retirees.
  • Members receive the National Guard Magazine which features many in-depth stories and information important to the National Guard
  • Members also receive periodic emails informing them of upcoming events and benefits they may be eligible for.
  • And once their membership nears expiration, NGAUS is able to send reminders to them for membership renewal.  Without their contact information, we are not able to ask them to renew.

“What is going on with my membership!?!?!”

Importance of making sure we enter memberships correctly, and in a timely manner.

How many of you have heard from members after renewal notices go out? "I already renewed why am I getting a renewal notice?" "I thought I was a life member!" "I didn't sign up for a membership." Well here at the mothership, we hear it all. 

These members are typically confused as to why they receive a renewal notice when they have already paid their dues, or they are a life member. Here are a couple of scenarios and how we can prevent the confusion.

  1. States collect membership dues directly from members but don’t enter the payment into NetForum in a timely manner.
    1. Members will continue to pull into an expired query until the profile is updated.
    2. States can reach out to me directly to get assistance with entering in large amounts of memberships.  Typically, I can work off a spreadsheet and get renewals placed in your designated state batch.
  2. Memberships renewals are entered incorrectly, causing “stacked” memberships. A member with a stacked membership, one membership being expired and one valid (maybe even more than two on a profile), will still cause that member to be pulled into an expired query.

    1. We make sure to use the “renewal” option in the invoice, NOT “add membership”.  
    2. When using the renewal option, you must select the current membership (even if not the one renewing at) and then select the correct renewal package. See the example below, Annual to Digital Life.  
    3. Also, when you find duplicate profiles, please send them to me for merging.  I know that some of you are more tech savvy than others, but even if you can figure out to merge, it doesn't mean that you should do it…you know who you are. 😊
  3. Complimentary or gift memberships (paid by state or donated by another member) that are entered without the member even knowing they had a complimentary or annual membership issued to them.
    1. First and foremost, please make sure that new members are aware of their membership and benefits, or make sure that their leadership advises them that they are issuing a complimentary or annual membership.
    2. I would recommend removing the “Send by Email” confirmation if it is a gift.  The receipt, which has a dollar amount, is issued via email is confusion to those who receive a donated membership.

April 21, 2023 Update

Expired Members

NGAUS members with memberships that expired in 2022 received their final NGAUS magazine with notification of their expired membership.  If an annual membership expires, when it renews, it does so the next consecutive year.  Therefore, if a member renews their annual membership in a non-consecutive year, their membership will erroneously apply to the previous year.  The way to prevent this is to terminate expired memberships.  This will not impact your ability to access the membership profile or the join date of the member.

On Friday, 28 April 2023, we will be terminating the NGAUS memberships that expired on 31 December 2022. This means that NGAUS members who have not paid for their 2023 NGAUS membership dues will not be able to access the “member-only section” of the NGAUS website and will no longer receive NGAUS benefits.

In May 2023, NGAUS will be terminating the state memberships that expired on 31 December 2022.

You will still be able to access membership profiles through NetForum.  You will also be able to renew terminated memberships.  This will not affect the “join date". These actions allow user membership records to remain more accurate and it reduces the number of corrections required to membership renewal dates.

Helpful Hint from Tracy: Verify a member’s rank and paygrade in demographics when processing a new membership or renewing. We want to ensure that all ranks and paygrades are correct. Change in paygrade can affect membership pricing. It happens…you know who you are! 😉

NGEDA Hotel Lottery System

The NGEDA Conference Committee has been charged by the NGEDA Board to study the current hotel double lottery system used by NGEDA for NGAUS hotel selection.  We encourage all Executive Directors to attend the May 4th NGEDA Roundtable when we will discuss the pros and cons of the current lottery system and solicit ideas and feedback for possibly modifying or changing the current hotel lottery process.  If you are unable to attend the May roundtable, and have suggestions to share, please reach out to one of the committee members:

Annual NGEDA Conference


The NGEDA Conference in Reno, Nevada is right around the corner. The NGEDA Board, NGAUS staff, and Host State are looking forward to seeing you in Reno. We will kick off on Monday evening, January 16th, with a welcome reception hosted by NGAUS and the Nevada National Guard Association. The reception will be held at Rum Bullions inside the resort.
 

NGEDA Annual Dues

NGEDA Annual Dues – Please ensure that your NGEDA Annual dues are paid for 2023. State Associations must make NGEDA annual dues payments in order to participate in the hotel selection process during the conference as well as the lottery selection for 2024. One-on-One Sessions

The NGAUS Membership and Marketing team will be offering on-site one-on-one sessions. Tracy Campfield will be available to discuss any questions you may have regarding the database. 

Michael McNeill will be available to discuss any custom marketing materials that you would like created for your state association's membership drive. 

You can coordinate a meet up time with Tracy or Michael during on-site registration.

General Conference Housing Reservation Information

 
The information below is provided by the Host State regarding room block reservations. This is different from the past process of collecting security deposits for rooms and suites. Additional information will be briefed during the NGEDA general session prior to the hotel visits and selection process.
 
Upon completion of room lottery selection each Executive Director / Association President will receive an individual state room block code through passkey. It will be their responsibility to either make individual reservations or give room block code to their members. At the time reservations are made a credit card will be required for that room's deposit. Nevada will not require a $100 per room deposit but reserves the right to turn in any unused rooms once the deadline has been reached. Nevada will provide periodic updates as to how many rooms are remaining in each states room block. All changes to reservations will be made directly with the hotel. Total rooms requested per each state must be based on past room usage. If any additional rooms are need, please let Team Nevada know exactly how many you still require and we will balance against rooms turned in by each state. Any time prior to the deadline states can update Team Nevada if they need to add or drop rooms in their individual block. Welcome - New NGAUS Membership Staff

Join us in welcoming the newest members of NGAUS' Membership and Marketing Department!

Tracy Campfield.  Tracy is the Program Manager, Database Development.  She will be working with state association leadership on managing membership records in the NetForum Customer Relations Software.  Tracy comes to NGAUS as an Association professional having previously served in membership at Trout Unlimited, a non-profit association dedicated to conservation of waterways for a viable trout and salmon population.  You can reach Tracy at [email protected].  

Michael McNeill.  Michael is the Manager of Membership and Marketing.  He will be working with state associations and NGAUS on the marketing of NGAUS to their membership.  Michael comes to NGAUS from Stafford Printing, a company that provides print and digital marketing products, and is looking forward to the opportunity to put his creative talents to work at NGAUS.  You can reach Michael at [email protected].

Housing Deadlines

July 1, 2022

  • All rooms in your room block must have a reservation (name) or they will be returned to the host state for other states who need additional rooms.  Your room deposit will be returned to you if you do not use all of your rooms by this date. 
  • If you need additional rooms, please notify the host state at [email protected] if you need additional rooms in your block so that they can be added to your room block (if available) after July 1.  You will be responsible for sending a $100 deposit to the host state for any additional rooms.

July 22, 2022

  • After July 1 through July 22 at 12 pm EST, you will be able to make changes to the existing reservations in your room block.  If you need assistance with this, you can contact [email protected] 

August 4, 2022

  • Between July 22 and August 4, the reservations will be transferred from the portal to the conference hotels along with the room deposits. 
  • After August 4, 2022, you must contact the hotel directly to make changes or cancel reservations.

April 14, 2022 Update

Expired Members

NGAUS members with memberships that expired in 2021 received their final NGAUS magazine with notification of their expired membership.  If an annual membership expires, when it renews, it does so the next consecutive year.  Therefore, if a member renews their annual membership in a non-consecutive year, their membership will erroneously apply to the previous year.  The way to prevent this is to terminate expired memberships.  This will not impact your ability to access the membership profile or the join date of the member.

On Friday, 29 April 2022, we will be terminating the NGAUS memberships that expired on 31 December 2021. This means that NGAUS members who have not paid for their 2022 NGAUS membership dues will not be able to access the “member-only section” of the NGAUS website and will no longer receive NGAUS benefits.

In May 2022, NGAUS will be terminating the state memberships that expired on 31 December 2021.

You will still be able to access membership profiles through NetForum.  You will also be able to renew terminated memberships.  This will not affect the “join date". These actions allow user membership records to remain more accurate and it reduces the number of corrections required to membership renewal dates.

General Conference Registration Now Open

State Association EDs or representatives can now begin registering members of their delegations online.  Emails were sent by Spargo registration with the registration link and your registration ID. Your registration ID is not the same as the ID for the housing portal. However, you can link directly to the housing portal through the registration site without a housing ID. New Strength Report

A new strength report is available in your Reports – strength report summary on netforum.  Here is a copy of what the report looks like. 

Changes include:
1) Complimentary annual numbers are now separated from active annual.  This allows you to see the portion of complimentary vs. paid members you have.
2) Digital life memberships have been added. As in the past, the Total Active numbers do not include the Retired Life numbers which are provided on this report for your information. 

Additionally, the digital life memberships may not reflect the actual number of digital life memberships sold in your state.  This is because some purchasers were already members through 2022 or 2023 when they purchased their membership.  Therefore, their digital life membership does not begin until the first day of the following year.  This involves only a small number of people (about 59) who were mostly complimentary members when they purchased the digital life membership.  If you have any questions, please contact Melvin in the membership department at [email protected].

Digital Life Members Without Email Addresses

There are over 60 Digital Life members in the NGAUS database that do not have emails associated with their accounts. These members are not able to receive all benefits as Digital Life members. Please review the list below and encourage these members to provide a civilian email address.

On the main screen, there are a list of Common CRM Queries located in a box on the right side. The query labeled 'State_eWeb_Payment...' will run a query that shows all payments that members have made through the NGAUS website.

January 7, 2022 Update

Important Message for Executive Directors – Please Read

January 6, 2022 Update

NGEDA Conference Is a Go!

The NGEDA Conference in Columbus, Ohio, will be conducted in person as planned.  The City of Columbus requires that masks be worn indoors in all public spaces.  The NGEDA Board is working with the hotel to maximize on spacing for all sessions and breakouts in order to make it easier to maintain safe distancing.  Hand sanitizing stations will be available throughout the public spaces.  The NGEDA Board, NGAUS staff, and Host State are looking forward to seeing you in Columbus, Ohio!  Don’t forget that NGAUS training day is Monday, January 17th, the day preceding the official start of the NGEDA conference.
 

NGEDA Annual Dues

NGEDA Annual Dues – Please ensure that your NGEDA Annual dues are paid for 2022.  States must make NGEDA annual dues payments in order to participate in the hotel selection process during the conference as well as the lottery selection for 2023.  Not sure whether your dues have been paid?  Please contact [email protected].

The host state of the 144th General Conference and Exhibition is collecting room deposits during the NGEDA conference.  Deposits will be $100 per room and $200 for a suite.  Make checks payable to “Buckeye Minuteman Foundation.”  Payments made by credit card will incur a 3% processing fee. 
 
NGEDA leadership would like to remind you that NGEDA dues must be paid in order to participate in hotel selection and room reservations during the NGEDA conference.

 

NGAUS Insurance Affinity Checks

Insurance Affinity checks will be distributed by finance during the NGEDA Conference in order to verify business addresses.  The rebate checks will follow in the mail later in January.  If you have any questions please contact the NGAUS finance department at [email protected].

 

NetForum Reports

Weekly membership reports are expected to resume this Monday, January 10, 2021.  Please let us know if you do not receive your weekly membership report.
 
We are working to update the Strength Report Summary.  You may have noticed that the Active Life numbers on the strength report summary do not include your digital life members.  Melvin is working with NetForum to develop a new customized report.  We are also planning to break out complimentary annual from (paid) active annual so you can more easily see your market penetration of newly appointed officers.
 
Missing Ranks:  NetForum is working to correct the missing ranks from the database.  We believe that the problem is related to the use of the “classic version” of NetForum.  In the future, please ensure that you are using the most up-to-date version of NetForum.

NGAUS Digital Life Membership

Digital Life memberships continue to increase – particularly in those states offering additional incentives.  Please remember to put your digital life members in a 2021 batch so that you can receive the 25% rebate at the end of this year instead of next July.  All state associations will receive rebates on payments for digital life memberships.  For example, someone who pays a digital life membership in full earns a $125 rebate for the state association.   For those paying in installments, 25% of the portion of the membership paid for in 2021 will be rebated.  The remainder of the rebate will be paid during the period the payment was made (either after 30 June or 31 December of the following year).  Take a look at the numbers.  What is your Active Life potential?  And how can you achieve those goals?  Let us know if you need help with any of the marketing or guidance on meeting your goals.   Reach out to Executive Directors of those states who are excelling and ask for their advice.

The NGAUS Membership Committee Chairman is seeking nominations of officers to represent Areas I, III, IV and VI on the committee.  Candidates should be members of NGAUS with some experience working with membership for the state and/or national associations.  Ideally, they represent states with successful membership programs, that is, they have met annual goals for the past few years. Recommendations will be taken to the Area TAG for final selection.

Don’t miss this year’s NGEDA Annual Conference from January 16-20, 2022, at the Hyatt Regency Downtown Columbus, Ohio.  Plan to arrive on Sunday, January 16th.  Registration begins at 4 pm.  There will be a full day of training and update briefs from the NGAUS Staff on Monday, January 17th.  NGEDA Meetings, including visits to the conference hotels, will be held on January 18-20th.

IMPORTANT Membership Update


Congratulations to the North Dakota National Guard Association for achieving 104% membership for 2021!  Special thanks to Executive Director Colonel Chris Domitrovich.  You can still achieve your membership goals for 2021.  Whether it’s a 1% increase over last year, 50% or 100% membership, it is possible to do this at little to no cost.  The easiest way to get across the finish line is through complimentary memberships.  If you have officers and warrant officers assigned who have never had a NGAUS membership, they are eligible for a one-year complimentary membership.  Additionally, if you have personnel who are not members yet this year and they purchase an active life (or digital life) membership, it is effective immediately.  Both of these membership types will assist you in achieving your 25% membership rebate if you have not already done so.

IMPORTANT Membership Update

This is a complex time of year for membership.  Many states (18) are still working to achieve their membership goals in order to receive their 25% rebate on active annual memberships.  Others are focusing on the 2022 membership year.  At the national level, we are short of our goal by 2,208 members.  Following is some instruction on how to proceed with membership inputs:
 
Use the 2021 Membership Batches for:  All complimentary memberships and life memberships.  If you do not use a 2021 batch for these memberships, they will not become members until 1 January 2022.  This will not extend the duration of the membership, it will only delay benefits for those who sign up.  You should never delay a benefit that is due and/or paid for by a member.

Introduction to NGAUS Membership

We will be offering a small group introduction to NGAUS Membership via Zoom.  It will be geared toward new Membership Committee Chairs/Members, Association Leadership, and Association Staff.   There are two opportunities to attend.  We will schedule follow-up instruction if needed. Both sessions will be offered on Tuesday, November 9th.  The first at Noon EST and the second at 7 pm EST. Please invite your association leaders and staff who work with or who have an interest in NGAUS membership to attend this event.

July 16, 2021 Update

NGAUS Conference & Exhibition Updates

  1. Conference Hotel Reservations -  The deadline for filling hotel reservations has now passed.  If you need additional rooms beyond what you have filled, please submit your request ASAP to [email protected].  They will coordinate directly with the host state on obtaining additional rooms when possible and getting them added to your hotel block.  You have until August 2d to make changes to existing reservations before the rooms are turned over to the hotel.  After August 2d it will be up to the individual registrant to contact the hotel directly to make changes. 
  2. Conference Registration – Registration will remain open until the conference, however, do not delay with registering your personnel as delegate assignments are due on July 31st.
  3. Delegates – The delegate option is now open on your state affiliate site of the registration portal.   To add a delegate selection for someone you have already registered, select Modify/View registrants, select the green Edit button on the record of the Registrant, Select Edit Profile Information, scroll to the bottom of the profile and select “Yes” under Delegate?   If the delegate is being assigned to a committee, select the committee assignment.  Select Continue and don’t forget to select Save. State Delegate Chart >>     Delegate Letter >>

2021 Capitol Summit

Dear State Association Directors,
 
As a friendly reminder, our NGAUS Officer Professional Development: Capitol Summit will be on October 24-26 here in Washington.

Guardsmen attending the Summit will have the opportunity to meet with their Representative offices on Capitol Hill. It is the responsibility of the State Associations to select the individuals who are the most qualified to attend. NGAUS strives to have representation from each state. NGAUS will provide funding for transportation, meals, and lodging for the attendees. Leave status for full-time servicemember attendees (PTDY, pass, ordinary leave) is at the discretion of local command.

Thank you to the following states who have paid their State Dues.  If your state is not on this list, please check in with your AG’s department to ensure that they have received the invoice.

Additional Rooms Added to Registration

Mandalay Bay:  The host state for the 143d General Conference and Exhibition has secured additional rooms at the Mandalay Bay for the nights of 26, 27, and 30 August.  These rooms have been distributed to your room block on your registration site.  If you have registrants for whom you could not get a hotel reservation for their entire stay, please go to your registration site and extend their reservations accordingly.

Luxor:  There are currently no issues with room night availability at the Luxor.  Spargo continues to monitor this and will request additional room nights if needed.  Please notify them if you have issues with room night availability at [email protected].
 
If you have rooms that you know you will not use, please contact [email protected] as soon as possible.  You do not have to wait until July 15th to turn in excess rooms.
If you have already filled your block and need additional rooms, please contact [email protected] with your request and they will be added if available.
 

Important Dates.

July 15:  You have until July 15th (next Thursday) to fill your room block before excess rooms are returned to the pool to fill other requests or to return to the hotels. 
August 2:  You have until August 2d to make any changes to your existing reservations before the room block is turned in to the hotel.  At that point, you will be bound by the cancellation policy.

Delegates for the NGAUS 143d General Conference and Exhibition

Delegate allotments have been assigned for each state.  Please see the links for your delegate numbers by type and the explanation of assignment per NGAUS By-laws.  SPARGO is loading the delegate allotments into the registration database so that you can identify which of your registered members are assigned as delegates.  Please check back next week on your registration site to see whether the delegates have been loaded and make assignments no later than July 31, 2021.

July 2, 2021 Update

NGAUS Conference

Managing Room Night Shortages

There is currently a shortage of room nights August 25, 26, and 30th at the Mandalay Bay and a projected shortage on these same nights at the Luxor.  This is or may impact your ability to make hotel reservations for your delegation.  If this is impacting you, please follow these instructions:

  1. Make the reservation for the nights that are available.  For example, if you have someone that requires a check-in on the 27th and a check out on the 31st, enter them from 27-30 August.
  2. Notify Amanda Thorne, the Spargo Housing Manager, at [email protected] of the date for the room night and the number you are short.

Spargo and the Host state are working as quickly as possible to resolve this situation.  Please do not wait to fill your room block with the dates that are available.  It may be helpful in obtaining additional room nights if we can demonstrate that the rooms will be used.

Don't Leave Money on the Table

Have you met your membership campaign goals for 2021?  Whether you established a membership goal for 2021 or not, there is still time to benefit from the 25% rebate for the first half of the year.  Here are a few key steps:

  1. Know your percentage and number of active members required to be eligible for a 25% rebate of NGAUS dues paid for a 2021 Annual or an Active Life membership during this year’s campaign period.  You can easily determine this by comparing your membership percentage at the end of last year to your current percentage.  For example:
    • State XX has a membership of 39% on 30 June. Their membership last year was 38%. They are eligible for the 25% rebate.
    • State XX has a membership of 50.1% by 30 June. They are eligible for the 25% rebate regardless of their membership the previous year.
  2.  Determine your current percentage and number of active members.
  3.  Renew the required number of memberships NLT 30 June and reap the benefits of a rebate.

State Dues

In accordance with the NGAUS By-Laws, Section 3.01 (a), each state is required to pay dues to NGAUS based on the National Guard strength in their state. The statement reads as follows: 

Section 3.01 – Classes, Qualifications, Requirements and Dues
Upon application, and acceptance, and payment of the prescribed dues, the Association will issue the following classes of membership:
(a) State: Membership may be issued to and in the name of a State. (Dues to be paid annually in the amount of Twenty-Five cents for each member of the National Guard based upon the assigned strength on 30 September of the preceding year as furnished by the National Guard Bureau.)

Payment must be received 30 days prior to the conference on July 27, 2021. Payment is required before the release of attendee badges at the General Conference & Exhibition. Please contact the NGAUS Finance department at [email protected] to complete payment.

NGB Travel Guidance 

The National Guard Bureau chief has signed a memo authorizing federal funding that each state and territory can spend to send a small number of company-grade and junior warrant officers to the 142nd General Conference & Exhibition, Aug. 27-30 in Las Vegas, Nevada for professional development. Please see the authorization memorandum along with the attachment with amounts each state is authorized to spend for travel.

New Event

There will be a Field Grade Officer Mixer on Friday, August 27 at the Rhythm and Rift Lounge, Mandalay Bay from 6:00 PM-10:00 PM.
 

Airport Shuttle

Shuttle transportation is available for $7 each way between the hotel and airport on August 26, 27, and 31st.  Payment must be made when you register your delegation.  Welcome ambassadors will be waiting at the airport to direct attendees to their buses. There are no tickets.  Each guest who purchased a ticket in advance will be on a roster.

 

June 10, 2021 Update

Membership

All state and territory associations may receive a 25% rebate on all Active Annual and Active Life Memberships collected between January 1 and June 30. Rebates are rewarded if a state has met its goal based on last year's membership end strength. In order to collect this rebate, all batches must be closed and checks postmarked by end of day on June 30, 2021.
 

Rules for 25% Rebate

Rebates are awarded to states whose NGAUS membership is 50% or above or those states that are below 50% but have increased by at least 1% over last year’s membership.  Percentages are calculated using the end of year-end strength provided by each state.  In order to collect this rebate, all batches must be closed and checks postmarked by the end of day on June 30, 2021.
 

Why June 30th

Delegate counts and seating arrangements for the 143rd General Conference & Exhibition are based upon the membership count collected on June 30.
 

Assistance

How can we assist?  If you are having challenges with any lists of members, we can assist you.  But please don’t delay.  Check with your state leadership for lists of newly commissioned officers and warrant officers through ROTC or OCS/WOCS.  Check for other direct accessions such as transfers from Active Duty or specialty branch commissions (Medical, Judge Advocate, Chaplain).

2021 Capitol Summit

NGAUS will be hosting one session of the 2021 Capitol Summit. The dates for this session is as follows: October 24-26. Space will be limited, each state may send one Army or Air Guardsmen to the summit. It is the goal of NGAUS to have representation from each state. Alternate names may be submitted and will be selected to fill any vacant spots on a first come, first serve basis. NGAUS will provide funding for transportation, meals, and lodging for the attendees. Leave status for full-time servicemenber attendees (PTDY, pass, ordinary leave) is at the discretion of local command.

The Capitol Summit includes a congressional component where Guardsmen will have the opportunity to meet with congressional offices. State associations are responsible for selecting the individuals who are determined to be most qualified to attend. The process used to identify attendees is also at the discretion of each state association.
 
State Executive Director or designee must select an attendee and fill out and return the registration form (below) to Kevin Brown by 23 July 2021 for the October summit. NGAUS will then contact the attendee with further instructions.

Registration and Hotel Reservation Update

The system is not open for states to register their members yet.  We will advise you immediately when it opens.  The housing reservation portal is open.  We encourage you to log in to the housing portal to check to see that your room block has been correctly loaded.  If you see any discrepancies or are unable to log in, please contact [email protected]

Conference Delegates

Delegate counts are based on state membership numbers as of June 30, 2021. Delegate selection on the Spargo registration portal will begin after this date. We will inform everyone once this selection process is available.

Roll Call of States Important Update

With an in-person conference, NGAUS has decided to return to a traditional roll call. Each state will have a representative present live to the audience for 1 minute in order of admittance into the Union.

Mandalay Bay COVID-19 Protocol

Per CDC guidance, fully vaccinated guests are not required to wear masks. Gloves will continue to be worn by employees who require them to do their jobs.

 

June 2, 2021 Update

Spargo Conference Registration and Hotel Reservations

As the 143d General Conference and Exhibition in Las Vegas nears, states are receiving registrations from their members for the conference.  We are all eager to register our conference attendees and make their hotel reservations in our selected hotels.  We appreciate your patience as we continue to refine the registration and hotel reservation sites. 
 
Registration.  The system is not open for registration from states yet.  We will advise you immediately when it is.
 
Hotel Reservations.  You should have already received your link and password to your state’s respective reservation site.   If you have not already done so, please validate that your room block matches what you have requested and paid the deposit for.  Currently, the site will require a credit card number in order to complete a reservation.  This is being addressed by removing the credit card requirement.  Some of you have been able to complete reservations by entering a card number such as your Association’s credit card number.  Once the site is adjusted to no longer require credit cards, you will be able to complete hotel reservations without entering a card number.   Please be aware that canceling a reservation within 72 hours or not canceling at all will result in a penalty of one night’s stay with taxes and fees.

 

May 21, 2021 Update

It has been a pleasure serving all of the associations over the past two years.  It was exciting watching our membership grow. I have always been a believer that together we can achieve our goals. Leaving NGAUS was a very difficult decision.  I have loved working at NGAUS, but the call of my family and friends from home was too strong.  The membership team works tirelessly to improve our processes. We have learned from each other over the past couple of years. Continue to reach out to them for help. 

I am leaving you in wonderful hands. BG (Ret) Maria Kelly will lead us in the right direction. I am so pleased that she and her husband, Dave are making the move to The District of Columbia. I can’t wait to see the changes under her guidance.

A very heartfelt "Thank You" to Michele Mahoney for the support that she provided to all Executive Directors and other Association leaders across the country.  We all cheered when "one of our own," who had walked in our shoes was selected as Director of Membership and Marketing.  Michele not only did a fabulous job in her position, but she developed a team of teams that brought more engagement between the State Associations and NGAUS. Together with her team, Cheyenne Arnold and Maurice Harris, Executive Directors across the country were able to leverage professional support tools that directly benefited our membership.  Thank you, Michele, and the very best of luck in all of your future endeavors.  
 
Needless to say, I have very big shoes to fill.   I will be relocating to Washington D.C. next week and can't wait to continue with the many initiatives that Michele put into place over the past two years.  One of the most notable things she and her team did was to improve the lines of communication during the period that many of us were under stay-at-home orders.  The online forums allowed us to share feedback and learn from one another as well as benefit from the information shared by the NGAUS staff.  I look forward to hearing from you - whether it be by an online forum, email, or phone call - on how we can continue engaging our officers in a way that makes them want to be a part of NGAUS for life.  
 
Thank you for all the work you do in the field every day to promote NGAUS.  I look forward to hearing from you soon and seeing you at check-in in Las Vegas!

Do not wait to add members

Please make it a priority to update memberships as soon as they are received. Waiting to update introduces real-life risk for our members. For instance, if a member is not in the NGAUS database at the time of their injury or death, they or their families will not be able to collect benefits such as NGAUS’s Accidental Death and Dismemberment insurance coverage and their children may not be eligible for the Leonardo DRS scholarship. While this may only affect a small portion of our membership, it is our duty to ensure our members are taken care of to the extent we are able.

 

May 4, 2021 Update

NGAUS Conference & Exhibition
New Location and Dates


The 143rd General Conference & Exhibition has been rescheduled for Aug. 27 to 30 in Las Vegas, Nevada. This is two weeks earlier than the initially planned conference in Charlotte, North Carolina.
 
Most meetings and the industry exhibition will be held at Mandalay Bay Resort and Casino, a 120-acre destination resort on the famous Las Vegas Strip near McCarran International Airport. Mandalay Bay has the fifth largest convention center in the United States, with 2.1 million gross square feet of meeting and exhibit space.
 
NGAUS and the Nevada National Guard expect to be able to provide in Las Vegas the conference experience that members and guests deserve and have come to expect.

Advertising Reimbursement

Please use the form below to receive a reimbursement for one registration for advertising the NGAUS conference. Many have advertised for the Charlotte conference during state association conferences. If this is the case, you can still receive your reimbursement, but an example of the advertisement must still be provided.

Resolutions Deadline

NGAUS has extended the Draft Resolution Deadline to July 31, 2021. There will be no extension of the Emergency Resolution Deadline. We encourage you to utilize this additional time to work with NGAUS Task Force Chairs on any pending resolutions.

 

Membership Rebate


All state and territory associations may receive a 25% rebate on all Active Annual and Active Life Memberships collected between January 1 and June 30. Rebates are rewarded if a state has met its goal based on last year's membership end strength. In order to collect this rebate, all batches must be closed and checks postmarked by end of day on June 30, 2021.

 

Strength Numbers

NGAUS is using numbers received from NGB to determine state percentages for those who have not submitted their strength report. If you have a current strength number, please email it to [email protected]. This number difference could help in your efforts to reach your goal.

The following states have not submitted their numbers: AZ, CA, CO, DC, FL, GU, IL, IN, LA, MN, MO, MT, NV, NH, NM, OK, PA, PR, RI, VT, VA, WV

 

NGEDA Round Table Discussions

Beginning on June 3, 2021, NGEDA will host virtual round table discussions and educational sessions. Round tables will take place on the first Thursday of every month.

*Video audio playing for virtual conferences on Zoom

Zoom screen sharing allows you to share the desktop, window, application or audio/video. Zoom allows you to also send computer audio to the remote attendees when sharing a video or audio clip.

To share computer audio such as YouTube, Pandora, etc. during screen sharing, click on Share Computer Sound.

  1. Open your Zoom meeting
  2. Ensure that you are logged in as the Host
  3. Click on the green "Share Screen" icon
  4. You will see a pop-up window where you select your desktop or application
  5. Click the check box in the lower left that says "Share computer sound"

Now when you are in screen share mode it will play all computer sounds to the audience

Scholarships

Many scholarship applications are opening. We highly encourage letting members know about these opportunities:

  • AFBA/NGAUS Active Life Member scholarship - Awards two (2), $5,000 scholarships to a NGAUS Active Life Member or the dependent of a NGAUS Active Life Member. (Deadline: June 1, 2021) Application

The National Guard Educational Foundation (NGEF) is administering the following scholarships (applications are available at www.ngef.org):

  • Leonardo DRS Guardian Scholarship – Awards up to $25,000 over four years for the children of fallen Guardsmen in GWOT since 9/11 (Deadline: June 30, 2021) Application
  • Van Hipp Heroes Scholarship – Awards up to $4,000 over four years for Guardsmen wounded in action since 9/11 (Deadline: July 1, 2021) Application

Feb. 25, 2021 Update

Renewing Members

Over 30k expired memberships from 12/31/2016 – 12/31/2019 on 2/23/2021 were terminated to ensure their memberships are renewed properly if they want to rejoin.  When an existing membership exists on an individual’s record exists, please always use the ‘renewing a membership’ process on page 20 of the SOP and not the ‘add new membership process’ which creates duplicate membership records. When a terminated membership is renewed, it will now renew with a current membership expiration date instead of erroneously incrementing the expiration date by one year if it expired more than a year ago; and you should not have to change an expiration date after processing a renewal.
 
When you add an invoice, select ‘add product’ and select the ‘renew membership’ on the Centralized Order Entry screen as listed on page 20 of the SOP, you should see the red ‘REJOIN’ label on the record (see below).  At this point you can renew the existing member type, ‘Chapter: Active Annual – OR’ or you can select a different member type like ‘chapter”: Active Life – OR’ if they wish to change it.  If you change the member type, be sure to change the appropriate member package and renewal package. 




Validate the correct price appears and select ‘save & finish’ or ‘Save & renew another membership’.  Continue with applying the payment.  Once processed, the correct membership with the correct expiration date should appear.
 
Note: Please only use the add membership process if there is no membership under the NGAUS or State membership you plan to add it.

Feb. 2, 2021 Update

NGEDA Information

The annual meeting of the National Guard Executive Directors Association will now be held virtually March 31-April 1.

The agenda will focus on the 143rd General Conference & Exhibition, Sept. 9-12 in Charlotte, North Carolina.

The NGEDA meeting agenda also includes company-grade officer and elected officer sessions and open meetings of the NGAUS Corporate Advisory Panel and the Payroll Deduction Coordinating Board.

In addition, attendees will get a preview of the 144th General Conference & Exhibition, Aug. 26-29, 2022, in Columbus, Ohio, and conduct their hotel lottery for that event.

Training sessions that normally take place at the annual meeting will shift to virtual roundtables over the next several months, Mahoney said.

There is no fee to tune in to the meeting, but registration is required. State and territory memberships must also be paid in full.

If you must use a paper form, you can download the form and mail it with your state membership fees to Michele Mahoney-NGEDA, 5012 NE 42nd Street, Kansas City, MO 64117. 2021 Membership Year Data Call

I am requesting your assistance with the National Guard Association of the United States’ 2021 membership year.  As you know, the assigned officer strength as of 31 December establishes the baseline for membership percentages in the upcoming year.

Please provide to this office the total number of assigned Army and Air National Guard Commissioned and Warrant Officers broken down by rank/Army and Air as of December 31, 2020.  Example:  MG=1, MajGen=2, LTC= 5, Lt Col=6.

For those associations that would like to pay for membership batches by credit card, the NGAUS Credit Card Authorization Form can be filled out and returned electronically to the NGAUS financial department at [email protected] or payments may be made over the phone with our Staff Accountant Lacey Morse at 202-454-5322

Please review how to reconcile batches in the NetForum Database SOP (Internal Use Only). Please note that you will not close out these batches. Once payment is received, our finance department will close these batches.

Capitol Summit 

October Capitol Summit (POSTPONED)

In light of the ongoing COVID-19 Pandemic, limitations to travel due to the pandemic and the Guard’s response in support of the mission, NGAUS made the decision that the October Capitol Summit will be postponed until further notice.

NGAUS will continue to re-evaluate the situation over the next several months to determine the feasibility of holding a version of the Capitol Summit later in the year. We will update you as we obtain more information.

 

National Guard Memorial Closed

With increasing health concerns we have decided to close the National Guard Memorial through to the public. Although we will not be present in the building we will continue with our normal working hours of 8 am-5 pm, Monday-Friday remotely. Should you need anything, please continue reaching out to us. All staff contact information can be found on the NGAUS website. If you have any questions about the closure, please contact [email protected].

We understand that some State/Territory conferences will be affected by recent health concerns. If you have not already, please inform Lakeshia Williams of any conference postponement or cancellation at [email protected].

State Association Directory

We have recently updated our State Association Directory to include both state association contact information and state association conferences. This new directory will allow you to search by state, area or conference dates.
 
We encourage you to visit this new directory to let us know if the information for your association is correct. If you notice any errors, please send the corrected information to [email protected].

 

State Association Resources

There have been many changes at the state level and we want to make sure you have the resources you need to be successful. On the NGAUS website, you will find "State Association Resources" available under the "States & Territories" tab, or at www.ngaus.org/stateresources.
 
These resources are restricted to executive directors, presidents or those you designate to have access. If there is someone that you would like to have access to these resources, please email [email protected] with their name and email address.
 
We encourage you to look through these resources and let us know if there are things that we aren't providing that you would like to see. If you have any questions about the toolkit or would like any of these resources customized to include your association's information, please contact [email protected].

 

State Conferences

We try to keep all information up to date on the NGAUS website. Please send us your state conference dates and locations. If you would like to have NGAUS staff present or exhibit at your conference or any other events, please fill out the State Support Request form and return to Lakeshia Williams.
